Calendar

In the calendar you manage every kind of appointment. A view in the form of a table and a calendar is available for this. Each appointment can be given various categories and comments.

  • Calendar: All appointments are shown in short form in the calendar view. As soon as you select a day, you will receive detailed information about the appointments on that day.
  • Modules: Many modules have a direct connection to the calendar. For example, in the area of a doctor's visit or vaccinations, you can transfer an appointment to the calendar by clicking the mouse. All available data are transferred. Automatic triggers are also set up. Dates that have already been transferred are specially marked in the modules.
  • Templates: In addition to templates for the drop-down words such as category, you can also save entire data records as templates.
  • Notification: The software evaluates upcoming appointments at each start and displays them.
  • Series: You can make a series appointment from an appointment. Specify how often the appointment should be entered and the desired interval.
  • Evaluation: The table can be sorted and filtered. You can evaluate them according to time periods or categories. The Report Generator is available for further evaluations.
  • Mail: (in progress) You can define various events. If you have activated the internal mail system, certain people will be informed about the appointments with automated mails. For example, the driver, the owner and the workshop can be informed about the date seven days before an upcoming maintenance.
  • User(in progress): If you have activated the user module, you can define private appointments. Private appointments can only be seen by the user who created the appointment and defined it as private.
  • Trigger (in progress): You can assign a number of triggers to each appointment. These triggers define when and what should happen. For example, an appointment can be assigned # 7day # 21day #mailDriver#mailOffice. In this example, a corresponding email would be generated to the driver of the vehicle and to the administration department 21 days and seven days before the appointment.

Cashbook

In the internal cash book you manage all expenses of the fleet. Each entry can be provided with extensive information.

  • Templates: Cost centers and rubrics can be edited as templates and thus easily evaluated and filtered. It is possible to save entire data sets as templates and insert them with a click of the mouse
  • Document: Each data record can be linked directly to a document. Additional documents can be inserted in the general area.
  • Intervale: Set up intervals. For example, amount X should be posted once a quarter with certain information about a certain vehicle. You can set up as many such automatic intervals as you like.   • Modules: Many modules have a direct connection to the cash book. In the maintenance area, for example, you can transfer repair costs to the cash book by clicking the mouse. All available data are transferred. Already transferred costs are specially marked in the modules.
  • Evaluation: The table can be sorted and filtered. You can evaluate them according to time periods or categories. The Report Generator is available for further evaluations.

  Contact

Here you can manage all contacts related to the software. Extensive information, comments and a photo can be added to each person. Many fields are template fields. You define these once and are then always available as a selection.

  • Binding: Any "connections" can be assigned to each contact. For example, a contact can have the connections "doctor", "insurance" or "patient". These contacts then appear for selection in the respective modules. For example, a "Doctor" contact is offered as a connected contact in the doctor's appointments area.
  • Mail: The fields Salutation, Name, First name, Phone and Mail are queried by the internal mail system. This information can be incorporated into texts using parameters. Read more about this in the area of the mail system.
  • Classification: Categories and keywords can be assigned to each contact. The categories are used for tree structure and filtering. The keywords for searches and evaluations.

  • Communication:
    Here you enter various telephone numbers, web addresses such as Twitter or Facebook and you can enter information on media such as Skype, Teamspeak or Discord. The websites can be called up with a mouse click.
  • Private (in progress):
    Here you enter private information such as birthdays, information on spouses or children.
  • Finance (in progress):
    Enter account details.
  • Firm (in progress):
    Enter information about the employee such as personnel number, entry date, department or absences

User & Role

You have the option of activating users and roles. After activation, the administrator area is available. Here you can manage users and roles and activate various functions.Benutzer und Rollen

  • LogIn: If required, a login with user and password is required to work with the software. Users can be managed centrally.
  • Administration: In the administration area you can create, block or grant users rights. Users can be connected to contacts.
  • Role: When activated, roles can be assigned to each user. For example, users can only have read and no write access. This means that these users cannot create or change any data records. Roles can also define access to functions such as evaluation, templates or mailing.

Evaluations and report generator

Different methods of evaluation are available in almost every module:

  • A quick evaluation allows simple queries about periods or categories

The Report Generator is available for this. This module allows complex queries and evaluations.

  • Fields: By selecting you determine whether all or only certain fields of the table are used. The selection can be changed at any time.
  • Parameter:Select fields and conditions so that you can generate any queries. Create multiple conditions for one field or create queries with multiple conditions for different fields.
  • SQL code: When you click on the fields, the SQL code is generated in the form. You can change this. With knowledge of SQL, you can expand the queries as you wish.
  • Export: Export the evaluation as xml, csv or txt. The txt file can be printed out.
  • Connections: (in progress) At the moment, the evaluation is always limited to one table (module). In the future it will be possible to create queries across several tables combined.
  • Function commands: (in progress) Function commands are SQL commands that create additional fields. For example, carry out calculations and display them as additional fields.
  • Load/Import: (in progress) Save and load created queries. The import of queries is also possible via loading. Have queries created by the manufacturer or third-party providers.

Mail System

The software has its own mail system. You can either send an email address (mailbox) from the manufacturer to send emails or use any email address or mail server of your choice. A mailbox from the manufacturer is required to receive mails.

Send

In many modules (maintenance, insurance) you will find options for sending mails directly. Here you have the option to send mails to the stored contacts (owner, driver, workshop, insurer). The software takes over a large part of the work with ready-made scripts and offers you almost finished cover letters, which are tailored to the current vehicle and the current process. The software also uses the mail system to send mails directly. According to your specifications, certain people can automatically receive emails. For example, as a reminder for upcoming appointments.

You have the option of storing any templates in a central folder. The software automatically recognizes these templates and offers them for you to choose from. These templates can contain any pre-made texts or text modules. This enables you to quickly create extensive mails.
